How Far in Advance Should You Book Event AV?

One of the simplest ways to guarantee a smooth event is to book your AV early. Equipment is finite, and popular dates get claimed fast. Here's a rough guide.

Weddings and big events

For weddings, milestone celebrations and large functions, book as soon as your date and venue are confirmed — often months ahead. Wedding season and December get very busy, and the best equipment is reserved first.

Conferences and corporate

For conferences and corporate events, a few weeks' notice lets us plan the right package and technician. For large or multi-day events, earlier is better so logistics are locked in.

Short-notice events

Life happens — funerals, last-minute functions. We do our best to accommodate short-notice bookings, though availability is tighter. The sooner you call, the more we can do.

It also gives you more equipment options, and time to adjust the spec as your plans firm up rather than accepting whatever is left.

The seasons that fill up first

In Zimbabwe, the December period and the wedding peak concentrate enormous demand into a few weeks, and graduation season does the same for institutions. Trade fair periods absorb equipment across whole cities. If your event falls in any of these windows, treat the normal lead times as a minimum rather than a guide, and book as soon as you have a date and venue.

What you can book before the details are settled

You do not need a finalised plan to secure a date. Most suppliers will hold equipment and crew against a provisional scope and refine the detail later. Waiting until every element is confirmed is how people end up with a fully planned event and no available supplier. Get the date held first, then work through the specifics.

Funerals, memorial services and events where another supplier has fallen through happen, and they are a normal part of the work. Availability is narrower and options may be limited, but it is always worth asking — particularly for venues close to Harare, where a crew can be redirected more easily.
