Sound & AV Equipment Hire in Victoria Falls

Sound & AV Equipment Hire in Victoria Falls

Conference, incentive and destination-wedding production at Zimbabwe’s busiest event destination — delivered with our own crew.

Victoria Falls is the one town in Zimbabwe where the event calendar never really stops. International conferences and incentive groups fill the resort conference centres, destination weddings run from the rainforest to the river decks, and the lodges put on boma dinners and gala nights week after week. JMG Audio supplies the sound, PA, lighting, staging, LED screens and air coolers behind all of it — brought in from Harare with our own crew, specced against your venue before we load, and set up the day before where the programme allows.

Conference and incentive AV at the Falls resorts

The Falls carries more international conference traffic than anywhere else in the country, and delegates arriving from outside Zimbabwe bring expectations set by venues in Johannesburg, Nairobi and Kigali. That is the standard we spec to: a properly sized PA so the back row hears the panel without straining, enough wireless microphones that nobody is passing one along a table, a screen sized for the room rather than whatever fits in the van, and a technician on the desk for the whole programme instead of a setup that gets switched on and abandoned.

We work in the conference rooms at Elephant Hills, the Victoria Falls Safari Lodge, The Kingdom, Ilala Lodge and the newer river-side hotels, as well as in marquees and purpose-built pavilions on the hotel lawns. Plenary rooms, breakaway rooms running simultaneously, and a separate registration or exhibition area each need their own kit — tell us the full programme shape at quoting stage and we bring enough units in one load rather than discovering the gap on site.

Where your delegates are not all working in the same language, we supply simultaneous interpretation equipment with individual delegate headsets and interpreter booths. This comes up regularly at the Falls, where regional and SADC-level meetings draw delegates from across the region, and it is much easier to plan in than to retrofit the morning the meeting opens.

Destination weddings in Victoria Falls

A Victoria Falls wedding is usually three or four separate events over a weekend rather than one: a welcome function, the ceremony, the reception, and often a cruise or a bush breakfast on the Sunday. Each has a different sound requirement and most of them are outdoors. We plan the weekend as one job — the ceremony gets a discreet setup that carries vows and readings without a wall of speakers in the photographs, the reception gets the full system and dancefloor lighting, and the crew moves with you between them.

Outdoor ceremonies near the river and in the gardens need more thought than an indoor room. There is no ceiling or wall to reflect sound back, so speech disappears quickly, and the wind off the gorge moves it around. We use a system specced for the open air and place it for coverage rather than volume, with lapel microphones on the couple and the officiant so the vows are genuinely audible to seated guests and clean on the video.

For evening receptions we add uplighting, dancefloor lighting and — where the venue allows it — cold-spark effects for the first dance and the cake moment. If you are filming or streaming for family who could not travel, tell us early: a clean audio feed to the camera is simple to plan and almost impossible to fix afterwards.

Boma dinners, sunset decks and bush venues

A lot of what happens at the Falls happens outdoors and off the main site — boma dinners, sundowner functions on the river decks, gala evenings on a lawn, and private dinners at bush venues out of town. These are the setups that catch suppliers out: limited or no mains power, sandy or uneven ground, a long carry from wherever the vehicle can park, and a hard stop at sunset for the build.

We plan these around the constraints rather than against them. Battery and generator power where there is no reliable mains, cable runs matted or buried where guests walk, and a build scheduled to finish in daylight. Where the venue is genuinely remote we bring a spare of anything whose failure would end the event — because at a bush venue outside Victoria Falls there is no replacement to fetch.

Air cooler hire in Victoria Falls

Victoria Falls in October is punishing. The build-up months before the rains regularly push into the high thirties, and it is the same stretch of the calendar that carries the heaviest conference and wedding traffic. A marquee on a hotel lawn at two in the afternoon is not a comfortable room to sit a hundred delegates in, and a boma dinner in still air is worse than the temperature alone suggests.

We hire out high-output mobile evaporative air coolers — portable aircon units — for precisely this. They sit on castors, run from a standard socket, and cool by drawing air through a wet honeycomb pad, which performs exceptionally well at the Falls because the air stays dry through the hot season right up until the rains arrive. For marquees, boma areas, tented conference rooms and open-sided venues they achieve what a split aircon cannot: genuine cooling in a space with no walls to seal.

Because the hot season and the event season are the same season here, air coolers book out well before the temperature does. If your function is between August and the first rains, add them to the quote at the same time as the sound.

Getting the equipment there, and what it costs

Victoria Falls is a long run from our Harare base — roughly 880km by road through Bulawayo and Hwange — so a Falls quote is not a Harare quote with the same numbers. Transport and crew travel are itemised separately so you can see exactly what you are paying for, and we keep the figure proportionate by loading the full rig in one trip and combining it with other bookings on the same route where the dates line up.

That travel is also why Falls bookings need more notice than Harare ones. The vehicle and the crew are committed for several days rather than an afternoon, so during peak conference season and the December wedding period the calendar fills early. Four to six weeks is comfortable; for a multi-day conference or a wedding weekend, earlier is better.

If your event is at the Falls but your organising team is in Harare, that is the normal case and it is easy to work with. We can site-visit in Harare, agree the spec with you there, and handle the venue liaison at the Falls end directly.

Frequently asked questions

Do you travel to Victoria Falls for events?

Yes — regularly. We bring the equipment and our own technicians from Harare, roughly 880km by road, rather than subcontracting to someone at the Falls. Transport and crew travel are itemised in the quote, and we keep that cost proportionate by loading the full rig in one trip and combining bookings on the same route where dates allow.

Can you handle a multi-day international conference?

Yes. We cover plenary and breakaway rooms running simultaneously, registration and exhibition areas, LED screens for the main stage, and simultaneous interpretation with delegate headsets and interpreter booths. Give us the full programme shape when you ask for a quote so we bring enough units in a single load, and a technician stays on the desk for every session.

We are planning a destination wedding at the Falls. Do you cover the whole weekend?

That is the usual booking. Most Victoria Falls weddings run as a welcome function, a ceremony, a reception and often a cruise or bush breakfast, and we plan them as one job with the crew moving between them. It works out considerably better than booking each event separately, and it means one team already knows your venues and your running order.

Do you hire out air coolers in Victoria Falls?

Yes. We supply high-output mobile evaporative air coolers — portable aircon units — for marquees, boma dinners, tented conference rooms and open-sided venues. They work well at the Falls because the air stays dry right through the hot season, and they cool spaces that have no walls for a split unit to work against. Book them with your sound, because the hottest months are also the busiest ones.

How far in advance should we book for a Victoria Falls event?

Four to six weeks is comfortable, and more for anything multi-day. Because the crew and vehicle are committed for several days rather than an afternoon, the calendar fills earlier than it does for Harare work — particularly through peak conference season and the December wedding period.

Can you supply power for venues without reliable mains?

Yes. We supply generators sized to the full rig, with the cabling and distribution to go with them, and we specify with headroom so the startup surge does not trip the set. For bush venues and river decks outside town this is planned in from the start rather than added as an afterthought.
