Hiring a PA system that is the right size means your event sounds clear and full without distortion — and without paying for more than you need. Three things decide the size: how many people, what kind of sound, and where.
How many people?
Crowd size is the starting point. A speech for 50 guests needs a modest PA; a party for 200 needs more speakers and a subwoofer for the low end; a concert for a thousand needs a full line-array rig. Always size up slightly rather than down — a strained system sounds harsh.
What kind of sound?
Speech and background music need far less power than a live band or DJ with heavy bass. If dancing is involved, you will want subwoofers. Tell your supplier whether it is talks, a DJ, or live instruments — it changes the setup completely.
Indoors or outdoors?
Sound disperses outdoors with nothing to reflect off, so open-air events need more power than the same crowd indoors. Outdoor events also need backup power and weather protection.

The shape of the room matters as much as the size
Two rooms with identical floor area can need completely different systems. A long, narrow hall needs sound thrown a long way to the back without deafening the front, which often means additional speakers partway down rather than simply more power at the front. A wide, shallow room needs coverage spread sideways. High ceilings, bare walls and hard floors all add reverberation that muddies speech, and the answer is directing sound at people rather than turning it up.
Speech and music are different jobs
A system that handles speeches beautifully may sound thin the moment a DJ starts, because music demands low-frequency output that speech does not. Conversely, a big music-focused rig can make spoken word boomy and hard to follow. If your event has both — and most do — say so, because the system needs to serve the harder of the two requirements rather than the average.
Headroom is what stops it sounding bad
A system run at its limit distorts, and distortion is what people mean when they say sound was uncomfortable or harsh. Properly specced systems have headroom — the capacity to go louder than they ever actually need to. That is not over-selling; it is what allows the system to sit comfortably at the level you need without straining. If a quote seems light on equipment for your numbers, ask about headroom specifically.
When in doubt, describe the event, not the equipment
You do not need to specify speaker models or wattage. Tell your supplier the venue, whether it is indoors or outdoors, how many guests, what the programme involves and whether there is live music or a DJ. A supplier who specs from that information is doing the job properly. One who quotes the same package regardless of your answers is not.
