Planning AV for a Conference in Victoria Falls

Victoria Falls has become Zimbabwe's default choice for regional conferences, summits and executive retreats, and for good reason — international access, hotel capacity and a setting that makes delegates want to attend. It also has logistics that catch out organisers who plan it like a Harare event. Here is what to think about early.

Confirm exactly what the venue provides

Hotels and conference centres all list AV facilities, but the detail varies enormously. A house sound system adequate for a wedding speech is not a conference system. Ask specifically what is included, what costs extra, whether there is a technician, and — importantly — whether you are permitted to bring your own equipment. Some venues restrict this or charge for the privilege, and finding out late is expensive.

Plan for multilingual delegates

Regional conferences in Victoria Falls routinely draw delegates from across SADC and beyond, which frequently means French and Portuguese alongside English. Simultaneous interpretation needs booths, transmitters and a receiver for every delegate, and it needs to be planned into the room layout rather than squeezed in afterwards. It also affects your budget significantly, so decide early whether you need it.

Equipment has to travel

Victoria Falls is a very long way from Harare, and specialist equipment — interpretation systems, LED screens, large-format staging — generally travels from there. That means scheduling, vehicle capacity and crew accommodation, none of which can be arranged at short notice. Book substantially earlier than you would for a Harare conference, and finalise your equipment list earlier too, because adding a major item a week out may simply not be possible.

Breakout rooms multiply everything

A plenary plus four breakout sessions is not one AV job, it is five. Each room needs sound, a display, microphones and someone to make it work. This is the item most commonly under-budgeted in conference planning. Map your programme room by room and session by session, and share that map with your AV supplier when you request a quote.

Hybrid attendance is now standard

Expect to stream. Regional conferences almost always have delegates who cannot travel, and speakers who present remotely. Both need planning: reliable connectivity, audio routed so remote participants hear the room and the room hears them, and a screen for the remote speaker. Test the platform and the connection in the actual room before the day, not from the hotel lobby.

Power and connectivity

Confirm the venue's backup power arrangements and whether they cover your rooms and your equipment. For a conference with international delegates and remote participants, an interruption is more than an inconvenience. Battery backup on the streaming and recording equipment, plus a generator where the venue's provision is uncertain, is worth the cost.

Record the sessions

Conferences generate content that has value long after the delegates go home — presentations, panels, keynotes. Recording with audio from the desk gives you material for reports, follow-up communications and next year's promotion. It costs very little on top of AV you are already paying for, and organisers who skip it usually regret it.

Build in setup and rehearsal time

Negotiate room access the day before. A conference rig — plenary sound, screens, interpretation, breakout rooms, streaming — cannot be built and tested properly in the two hours before delegates arrive. Presenters should also have a window to test their slides and clip on a microphone before the room fills, which prevents most of the small delays that make a programme run late all day.
